Operational Procedures - Terms and Conditions:

Please read ‘All Terms’, which includes our Liability Waiver, prior to booking your flight. These ‘Terms’ are available on our websites, www.youtakeflight.com  and www.airwolfhelicopters.com , and may also be available as a link or attachment via confirmation email upon purchase.  By purchasing your flight, you are agreeing to ‘All Terms’. If you have questions, call prior to your purchase.

 

FAA Regulations and Security Operations:

All federal laws and FAA safety procedures will be adhered to.

Be prepared to show a government-issued photo ID or Passport that matches the credit card that you used to purchase your flight. We may ask you to text your photo I.D. in advance of your scheduled flight.

We reserve the right to run a background check.

If we, for any reason feel uncomfortable with a passenger or passengers on our flight schedule, we reserve the right to cancel their flight prior to the scheduled flight and refund their payment at any time, without explanation.  An email will be sent that the flight has been cancelled and to expect a refund within 5 to 10 business days.

If for any reason we are uncomfortable with a passenger, we will terminate their flight and issue a refund the following business day. This includes passengers who are under the influence of drugs or excessive alcohol.

Be aware that there may be armed and unidentified security personnel present.

Be prepared to go through a security screening.  All weapons, including firearms and knives are prohibited.

Be prepared to be weighed. If there is any question as to the accuracy of passenger weights presented during the booking process, we may have you step on a scale. Accurate weight is crucial for safe helicopter operations. 

Any passengers who appear to be under the influence of drugs or alcohol, will not be permitted to fly and will not be refunded.

The only possessions allowed on the aircraft are phones, small purses, or cameras unless you have made prior arrangements with us.

Anyone on the airfield must be approved and invited to enter with escort from our crew.

All children must be held either by hand or carried. Children are NOT allowed to run around on the airfield.

Unauthorized vehicles are not permitted on the airfield at any time.

 

General Operations:

All flights are managed by You Take Flight LLC and are performed by Wolf Helicopters LLC, dba Airwolf Helicopters under FAA Certification.

Flight operation days and times may vary.

Helicopter flights and flight simulation sessions are booked by appointment only. No walk-in appointments are considered.

The address for flights that originate from the Dallas Executive Airport (Redbird) is 5303 Challenger Dr., Dallas, TX, 7523, which is the main terminal building / Dallas Jet Center, and shares the facility with Delta Charlie’s Bar and Grill restaurant.

 

On the day of your scheduled flight:

Please make sure you are reachable on your mobile phone on the day of your flight.

If there is any need to modify your flight time or reschedule flights due to weather or any other reason, we will need to contact you.

Please arrive 30 minutes before your scheduled flight and be prepared to walk to the airfield for a safety briefing and boarding of the helicopter 15 minutes prior to your scheduled flight time. If flights are running on schedule, we will NOT be able to wait if you are late. (See our Cancellation, Refund and Fee Terms below). However, please note that there are many variables in flight operations, including waiting for fuel and weather delays, that can alter your scheduled flight time. The restaurant and/or terminal building are very comfortable places to wait.

 

Upon your arrival (for flights originating from Dallas Executive Airport):

Please arrive 30 minutes prior to your scheduled flight time as Dallas area traffic is always bad. If we are running on schedule, we will NOT be able to wait for you if you are late.

Please enter through the terminal building doors if you do not have dinner reservations before your flight. There is a nice waiting area. You also have the option to wait in the privacy of your car, or, as per your discretion, in the restaurant, which is accessible through interior doors. Please do not sit down at a table in the restaurant without authorization.  Please make sure you are in the terminal area at least 15 minutes prior to your scheduled flight.

We will keep you updated if flights have been delayed.

Restrooms are in the hallway between the terminal area and the restaurant. If you need to use the restroom, please do so at least 15 minutes prior to your scheduled flight.

 If you have dinner reservations prior to your scheduled flight, please check in at the front desk of the restaurant. Enjoy your dinner and when you are finished, please make your way to the terminal waiting area at least 15 minutes prior to your scheduled flight. We will keep you updated if flights have been delayed.

 

When it is time to prepare you for your flight, you will receive a safety briefing either by myself via Facetime or a phone call, or, in person by myself or with one of our crew members that will adhere to our COVID-19 safety guidelines. You will then be escorted out to the helicopter by our ground crew.

 

Helicopter Flight Operations:

Available flight tours may vary and consist of one to four flight groups that may be operated back to back.

 Red carpet photo opportunities with the helicopter will be offered during fuel stops, if not too windy, which may be before your flight, after your flight, or after a series of flights.

 We do not guarantee exact flight times, or sunset flights, or a cloudless day. If we can fly, the helicopter will fly below the clouds.

 Unless pre-authorized, no food or beverages are allowed on the aircraft.

 Proposal flights that require special attention, as in special request or additional family members or friends attending must be arranged in advance. There may be an additional fee for special handling.  Contact Kelley at kelley@youtakeflight.com

Flight Description and Procedures:

 SHARED FLIGHTS– Sharing the helicopter with other passengers you may not know. We place one couple, forward and aft (knee to knee) on one side of the cabin, leave a seat open in the middle, and place another couple on the opposite side, forward and aft (knee to knee). That way everyone gets a window and the open seat in the middle keeps seating comfortable. The cabin seats up to 5 passengers.

 Shared Flight bookings, (non-Privacy flight), might require that you be flexible with your schedule.

For Shared Flights, we require at least a 4-passenger minimum to dispatch the helicopter for departure.

If a particular flight has not populated (with a least 4 people), we will contact you in advance with other flight time options. We will always try and keep you close to your original flight selection.

 For Shared Flights, we may need to consolidate flights if there is a large gap between scheduled flights. For example, if you book a 10:00 pm flight and the last populated scheduled flight is 8:00 pm, we may need to consolidate flights and will contact you in advance. 

Please take care not to schedule dinner reservations elsewhere on a tight schedule as your flight may take up to an hour to perform, or even longer if we have had reason to delay flights due to weather or other reasons. 

All flights are based on weight and balance calculations and at times we may need to move you to another flight group to stay within our weight and balance perimeters. Therefore, your flight time may vary, however, we will try and keep you or your group as close to your original selected flight time as possible and will notify you of any adjustments as soon as possible.

The booking system may show seats available, however, it does not calculate weight. If a booking causes the aircraft to be overweight, we will contact you and will need to reschedule your flight to another time frame.

 

Private Cabin Flights: - Purchasing the cabin seats for yourself or your group. Up to 5 seats available depending on weight. There may or may not be a co-pilot up in the cockpit.

 

Private Flight: - Purchasing all passenger seats available in the helicopter, sometimes up to six seats, for yourself or your group.  5 seats in the cabin and 1 up in the cockpit, next to the pilot as co-pilot. Co-Pilot seats are not always available. Seating availability depends on weight, which includes variables such as fuel load.

Private Flights or Private Cabin Flights offer a more stable scheduling opportunity.

 

Helicopter Safety Briefing:

 You will be escorted to the aircraft by qualified ground crew and will be given a verbal Safety Briefing.

 The tail rotor of the helicopter is an extreme danger zone as it becomes invisible when running. Never go near the tail of the helicopter.

 We approach and load the helicopter from the side only.

 You must hold on to your children at all times.  Children are not allowed to run around the airfield.

 Please allow our crew to escort you in and out of the helicopter and open and close the doors.

 Our crew will help with your safety belts and headsets.

 Seat belt extensions are available in the center console should you need one.  Our crew will help you use them.

A safety briefing card is available for your review in the lift up center counsel, located in the cabin.

Air sickness bags are available in the lift up center counsel, located in the cabin.

Do not operate the windows. We have heat or air conditioning as needed. Tell the Captain your needs.

 Helicopter doors are light weight. Do not lean on or bump into the doors as they may open. If they do, it is not an emergency. Just let the Captain know and then lift the lever up and close the door.

If we are flying with doors out, all safety procedures will be covered in the safety briefing.

You will be able to communicate with the Captain via your headsets and he will be able to hear you.

Do not move around to other seats in flight.

Wait for our crew to open the doors to disembark you and escort you off the airfield.

Always stay with and follow the instructions of your crew escort.

 

Special Programs: Dinner Flights:

We will coordinate your flight and make reservations with the restaurant as per your request. We suggest dinner reservations 1 ½ hours prior to your flight or directly after your flight.

For Delta Charlies Bar and Grill: *We adhere to their Dinner Flight Terms

We are not affiliated with Delta Charlie's Bar & Grill. You will be held to the terms of their approved Dinner / Flight Menu promotion.  This menu will allow you to choose between your choice of salad, main entree and dessert. Beverages are not included with this promotion.

Reservations are required! They are required through us if you purchased your flight through us. We notify the restaurant of your reservation.

PLEASE NOTE: There is an option to upgrade the steak on the menu to a Filet Mignon. If you choose this option, you will be charged an upgrade fee of $12.99 and will pay this along with your beverages and tip at time of check out in the restaurant. We do NOT offer the option to upgrade your steak during our booking process. You make that decision at the restaurant while ordering.

To confirm: You will be responsible for all beverages, any added menu items that are not on the Dinner Flight Menu, optional upgrade steak, and taxes on these items at time of check out.

Please make sure you remember to tip appropriately. If our passengers do not, we hear about it and it may affect our ability to offer discounted helicopter flights in the future.

The Delta Charlie’s Menu has a disclaimer at the bottom that says an additional $18.57 will be charged for dinner and flight taxes. Please note that our customers will not be required to pay this.

You must be of legal age to drink any alcohol. It is up to you to decline if offered a complimentary glass of Champagne. Be prepared to be carded.

Dinner and flight through Corporate Programs and Part 135 operated flights may differ and will be outlined in advance.

 

Seating:

The Bell 206 L3, Long Ranger helicopter seats up to 6 guest passengers depending on size and weight. Total weight of guest passengers depends upon fuel load and will be discussed during booking. There are 5 comfortable leather seats in the private cabin and one co-pilot seat in the cockpit next to the Captain.

All standard seats include a window, except for the middle back seat. Seating arrangements are determined by the flight crew and are based on weight and balance considerations.

If you reserved your seat with other people in your group, they will fly with you if possible. Due to weight and balance they may not sit next to you aboard the aircraft, but we always strive to keep groups together. If your group exceeds the seating and weight capacity of the helicopter, they will be scheduled in another flight. Safety and a balanced center of gravity is priority when it comes to seating arrangements.

Weight restrictions:

Aircraft performance is affected by variables that include outside temperature, fuel load and total passenger weight. For safety and maximum performance of the aircraft, your Captain will perform a weight and balance assessment for each flight and will require each passenger to disclose their weight during the booking process.

There is a 260 lb. weight limit to the co-pilot seat for Shared Flights. 

Couples must not exceed 500 pounds together for a Shared Flight.  If so, they must purchase a Private Cabin or Private Flight Ask us for special rates.

Individual passengers of 300 lbs. or over, will be required to purchase a Privacy Flight. Please call 817 224-2266 for special rates.

Weight limitation for a Private Cabin flight is 800 lbs.

Weather and other flight cancellations or delays:

Weather, ATC, FAA, TFRs or other unexpected delays or cancellations are not subject to our cancellation fees. If you arrive willing and able to fly and we are unable fly, there will be no charges and your flight will be rescheduled. You have up to 1 year to reschedule your flight.  Please contact us at your earliest convenience with other desired date options to reschedule your flight.

Adverse weather conditions, including storms in vicinity, excess temperatures and wind can affect safety.  If your Captain, ATC (Air Traffic Control), or government regulations declare that flights be cancelled for ANY reason, including maintenance or current air space restrictions, we will notify you as soon as possible. Please provide contact information and monitor your phone for voice mail and text messages.

 If a large frontal system is coming in, we may reschedule flights a day in advance of your flight. If conditions are questionable, we will give you periodic assessments, generally around 5 hours in advance of your schedule flight time frame. During thunderstorm season, there may be unpredictable pop up storms that cause us to go into ‘stand-by’ mode, even if you have already arrived for your flight.  We will be on standby to fly until after storms pass. It will be your choice if you wish to stay on standby or reschedule. If storms intensify and are likely not to pass as anticipated, we will reschedule flights. This can happen even if you have already arrived.  We will try calling, texting, and emailing you regarding updates. If you do not respond to these efforts and show up to fly, you will be notified that flights have been cancelled by either the restaurant or Dallas Jet Center personnel,  and you will need to contact us to reschedule.

Age restrictions:

Children must ride in their own seat. Please contact us to inquire about children under the age of 5. Privacy Flights are offered for families with children under the age of 6. Please contact us for special pricing.

Reschedules, Cancellations, Refunds and Fee Policies:

This will be an experience that you will never forget, however, please plan accordingly as our cancellation and refund policies are firm.

Reschedules:

If you need to reschedule your reservation, please provide a 72-hour notice prior to your scheduled flight time and we will be happy to accommodate your schedule change without a fee. 

Reservations canceled, to be rescheduled later, within a 48-hour notice will incur a $50 re-booking fee.

Flights cancelled with less than a 24-hour notice affects other guests booked on the flight and may not allow enough time to resell the canceled seats. A re-booking fee of $110 per seat for a Shared Flight will be required.

Private Cabin or Private Flights canceled with less than 24 hours will incur a $99 re-booking fee.

No-shows (5 minutes past scheduled departure time) will be assessed 100% of the cost of the booked and confirmed ticket price and cannot be rescheduled without paying a no-show re-booking fee of $130 per seat for a Shared Flight, and $99 for a Private Cabin or Private Flight. 

 

Refunds:

If you purchased your flight direct through us, we will issue a refund, less a $30 administration fee, within 3 days of purchase IF your request is at least 72 hours prior to your scheduled flight.

After the refund time frame:

If you purchased direct through us and live within a 250-mile perimeter of the DFW metroplex, your flight will be rescheduled and not refunded.

If you purchased direct through us and are visiting from out of state, or more than 250 miles from the DFW metroplex, upon your request, you will be issued a refund, less a $30 administration fee.

We do not offer refunds if your flight was purchased through a 3rd party affiliate, broker, agent, or for Gift Certificates, however, your flight can be rescheduled as per our reschedule terms and is good for 1 year.

If this was a surprise and the person you purchased the flight for refuses to fly, a refund will not be issued. You will have 1 year to reschedule your flight with someone else.

If you or someone in your group boards the helicopter and then decides not to fly for any reason, a refund will not be issued. You will have 1 year to reschedule your flight with someone else, however, a re-schedule fee of $110 per seat will be charged if you wish to do so. 

If your flight was for a special event or proposal and any of the above-mentioned conditions prevented us from being able to fly, you will have 1 year to reschedule your flight and will not be refunded.

Please allow up to 10 business days to process your approved refund

CHARGE BACKS WILL COST YOU: Credit card or PayPal charge backs will be challenged, and an additional $300 administration fee and possible legal fees will be added to your original purchase.

Photo Opportunities:

There will be a photo opportunity with the helicopter.  Depending on the flight you purchased and the wind conditions, we may roll out a red carpet for the session.  We will take one group shot photo for our records and then use your devices to take photos so that you have them. The session may be prior to your flight, after your flight, or after a series of flights, as we may run a few flights together.

Comfort and Safety:

Aircraft can create an uncomfortable experience for some people, like that of a boat, amusement park ride other type of vehicle. Please remember this when purchasing your flight, once the flight begins it can be upsetting to the other passengers if the flight needs to be shortened due to motion sickness or discomfort. We do not offer a refund in the event a passenger in your group gets sick and we need to return to land. We do offer members of another tour group on the same flight the opportunity to return and continue the tour.

For safety reasons, FAA regulations require us to refuse aircraft boarding for passengers who appear to be intoxicated or under the influence of drugs or alcohol; these guests will not be eligible for a refund.

 

Agents, Brokers, Ambassadors, or any third-party cooperation:

All must agree to and follow our ‘Terms’ of operations including, ‘All Terms’.

All must follow our Policies and Procedures.

FLY AT YOUR OWN RISK

Adults will take all responsibility for minors.

If this is a surprise, or, if you purchased flight as a gift for someone,  it will be up to you if you wish to take responsibility for ‘All Terms’ including this Liability Waiver, on behalf of your guest.

We are not responsible for any injuries or sickness sustained either in or around the aircraft, the airfield, airport premises, any approved landing areas which include event facilities, our corporate office or hangar, any restaurant, including Delta Charlie’s Bar & Grill or any other venues.

We are not responsible for loss or damage of your personal belongings. 

 

I understand and acknowledged that flying in a helicopter or any aircraft has inherit dangers and risk that no amount of care, caution, instruction or expertise can eliminate, and I expressly and voluntarily assume all risk of death or personal injuries sustained while participating in a ride in the aircraft including the risk of passive or active negligence of the released parties; or hidden, latent, or obvious defects in the aircraft or the equipment and the airport or landing locations used, including acts of God, man or nature.

As part of the consideration for my being allowed to ride in an aircraft being provided by

You Take Flight LLC as the marketing company/ tour operator and Wolf Helicopters LLC dba Airwolf Helicopters as the aircraft operator, I promise not to sue anyone, including the released parties.  I understand that this release will prevent myself or my family from bringing any such claims for injury or death should such occur. I understand that this agreement is severable and that if any clause is found to be invalid, the balance of the agreement will remain in effect, valid, enforceable, and last forever.

It is assumed that you have read and agree to our Terms and Conditions, ‘All Terms’ list on our websites, www.youtakeflight.com or www.airwolfhelicopters.com, under Terms. By agreeing to our ‘Terms’, you forever release and discharge the following parties, (listed below),  including all members, family members,  ground personnel, employees, insurance companies, aircraft manufacturers or aircraft part manufacturers of the following parties (listed below), from any and all liabilities, claims, demands or causes of action that I may hereinafter have for claims, injuries and damages arising out of participation in an aircraft ride in a Helicopter or Airplane, including, but not limited to, losses caused by the passive or active negligence of the released parties or hidden, latent, or obvious defects on the airport, pilot, maintenance or in the equipment and aircraft used.

(the event planner, tour operator), You Take Flight LLC, 5677 Apollo Dr., Dallas TX 75237, including owners, employees and family members; (the helicopter and airplane operator), Wolf Helicopters LLC dba Airwolf Helicopters, 5677 Apollo Dr., Dallas TX, 75237, including owners, pilots, employees and family members, (the helicopter owner), GM Leasing Company, LLC,1318 Smede Hwy, Broussard, LA 70518, including owners, employees and family members, (the Airports), including Dallas Executive Airport, (the corporate Brand Partners), including owners, employees and family members, and those who participate in marketing and advertising, any participating restaurants, and (any third party charter flight operations), including owners, management, family members.

COVID-19 or any other communicable disease

We will do our best to implement COVID-19 safety procedures during high alert times. These procedures may including social distancing, crew mask if social distancing is not possible, modifying the helicopter to include a clear divider between the cabin and cockpit, as well as sanitizing between flights, however, we cannot guarantee that the disease cannot be transmitted. You understand that you are flying at your own risk.

I HAVE CAREFULLY READ AND UNDERSTAND THIS AGREEMENT AND RELEASE OF LIABILITY, THAT IS VALID FOREVER AND I FULLY UNDERSTAND ITS CONTENTS AND ABIDE BY IT OF MY OWN FREE WILL.

By agreeing to these ‘Terms’, you are giving up legal rights if you should be injured or die and you or your estate attempt to sue somebody for your injuries or death.  You will not be able to bring a lawsuit, even if someone beside yourself was at fault for causing the injury or death.  This document is intended to waive and release your rights to make any claim for damages.

 

If you have already paid for the flight in the helicopter, we agree to give you a full refund of all your money if you are unwilling to sign or agree to this release and you decide not to participate in the flight.  Your participation in this flight is voluntary and releasing the listed parties is part of the consideration for being allowed to participate.

 

I understand and acknowledge that by purchasing a flight, and in turn, flying with us, constitutes agreement to our ‘Terms’ including ‘All Terms. 

You can find our ‘Terms’, under the Terms tab on our websites, www.youtakeflight.com and www.airwolfhelicopter.com. By purchasing a flight, and in turn, flying with us, it is assumed that you have read and agree to ‘All Terms’ and you will be bound to this Liability Waiver.
